Running a Boston business on the academic calendar

Few American cities follow the school year as closely as this one. Move-in week, midterms, finals, winter storms and commencement shape who messages you and what they ask. This page walks through the year period by period, with what to post and how to keep bookings in order.

  • A month-by-month view of what students, parents and locals ask
  • Posts prepared ahead for move-in and commencement, published on schedule
  • Group classes and one-on-one sessions in the same calendar

Why the school year sets the pace here

With Boston University and Northeastern inside the city, Harvard and MIT just across the river in Cambridge, and many other colleges nearby, a large share of your customers run on semesters. The hospitals and research labs of the Longwood Medical Area and the life-science offices in the Seaport add staff and researchers who keep long, irregular hours.

Back Bay, the South End and the neighborhoods around the campuses each feel this differently, but the pattern repeats: a rush of first-time customers in September, a quieter winter broken by snow closures, then another rush around graduation. Businesses that post ahead and answer quickly in those weeks pick up customers who stay for years; students become residents surprisingly often.

Trades that move with the semester

  • Test prep and tutoring

Group courses with a seat limit, private sessions per tutor, each with their own hours. More: test prep centers, private tutors.

  • Movers

The first of September is the city's unofficial moving day. Walk-throughs and quotes booked straight from the chat. More: moving companies.

  • Coffee shops

Finals-week hours, study-friendly seating questions, holiday closures. More: coffee shops.

  • Fitness studios

New-semester trial classes and race-season training blocks with a capacity per class. More: fitness studios.

  • Hair salons

The pre-graduation and pre-flight-home rush. Each stylist keeps their own schedule. More: hair salons.

August 29, a moving company's Messenger inbox

An example conversation, not a real customer. The open dates come from the company's calendar and existing jobs.

Customer: Hey, any chance you have a crew on September 1? Two-bedroom, Allston to Somerville.
Assistant: September 1 is fully booked. The nearest openings are August 31 at 8:00 a.m. and September 2 at 8:00 a.m. A two-bedroom is planned as a half-day job. Would either date work with your lease?
Customer: September 2 could work. Do you bring boxes?
Assistant: Boxes and tape are sold separately and can be dropped off before the move. Should I book September 2 at 8:00 a.m.? You will get a confirmation email with a link to view or cancel.
Customer: Yes, book it.
Sample conversation. The assistant only answers from the information you give it.

The assistant did not squeeze in a September 1 slot because the calendar had none. The box detail is an entry the owner wrote once. The owner gets an SMS and an email for every new booking.

What to post each semester, and where

A simple rhythm beats a complicated one you drop in October.

  • Instagram for first impressions New students scroll your grid before they visit. Post recent work, your space and your team; Instagram needs a Business or Creator account and a photo or video on every post.
  • Facebook for parents and neighbors Parents follow pages and local groups. AYDUKE can publish to your page and to Facebook groups on a schedule.
  • Google Business Profile for "open now" Schedule posts about snow closures, holiday hours and graduation week there too; reviews and Q&A stay inside Google.
  • LinkedIn for the lab and hospital crowd If you serve professionals, publish there as well. LinkedIn is publishing only; messages and comments are answered in LinkedIn itself.

Hiring a Boston social media agency versus keeping it in-house

AYDUKE is software, not an agency, and it does not create your content. It takes over the routine work so you can run it yourself.

Worth paying an agency for

Photography, brand identity, a launch campaign, paid ads. If you have a creative partner you like, keep them; they can plan in the same panel.

Easy to run yourself

  • Scheduling a semester's worth of posts in one afternoon
  • Answering DMs, Messenger and website chat after hours
  • Booking sessions and classes into real open slots
  • Exporting publishing reports as XLSX or CSV

Agencies and freelance social media managers with local clients can connect several accounts within their plan's account limit and manage them in one calendar. The reseller program is free, and pays commission as long as the businesses you refer keep paying.

Getting set up before move-in week

  1. Connect accounts

Each platform connects through your own developer app via OAuth. The panel has a step-by-step guide for Meta, Google, LinkedIn and the rest.

  2. Teach the assistant

Enter hours, prices, cancellation rules and the questions students ask, or point it to your website. It reads up to 500 pages and refreshes them weekly; Shopify and WooCommerce catalogs are read too.

  3. Build services and staff

Give each service a duration, buffer and price. Group classes get a capacity, tutors and stylists get their own hours.

  4. Queue the September posts

Prepare welcome posts, hours and the chat link once, and schedule them to every connected account.

Test it before the semester starts

The free demo opens right after signup, no credit card. Every platform and the core features are available, with AI credits to try replies.

For clinics and practices near the medical area: keep booking forms to name, contact and preferred time, and do not ask for symptoms or treatment details in the chat. Nothing here is a HIPAA compliance claim or legal advice; decide with your own compliance advisor what information belongs in a booking tool.

Frequently asked questions

Can students get a text reminder before their session?

Customers in the US receive confirmation and reminder emails with a link to view or cancel. Text reminders to customers are not available here. Your business gets new-booking alerts by SMS and email.

We close for snowstorms. How do we tell everyone quickly?

Keep a closure post drafted and schedule it to Facebook, Instagram and your Google profile in one step. Customers can cancel or rebook through the link in their confirmation email.

Our tutoring center runs in Cambridge and Brookline too. One account or several?

One panel can hold several locations' accounts within your plan's account limit. Give each location its own staff and hours so the chat only offers times that really exist there.

Is AYDUKE a Boston company with local support?

No. It is remote software run by a company based in the United Kingdom, with no office in Massachusetts. You can reach the team through the contact page.

Does the assistant know about campus events or T delays?

No. It answers from what you taught it and does not follow live news or transit. Anything else, it offers to pass to you.
